How does biometric clocking prevent buddy clocking?

The device uses highly advanced facial recognition with anti-spoofing technology. This means staff cannot share fobs, exchange PINs, or attempt to trick the device using photographs or images. Each clocking event requires the physical presence of the individual.

Why did CoolCare not choose and app or ‘Picture & Pin’ on a tablet?

The picture & PIN offering requires a human to check the pictures are of the actual staff member, we know this takes time, is often missed, is often not done regularly and can allow staff to trick the system with fake pictures, or obscured cameras. We have learnt from customers coming to us that that fraud has taken place undetected for some time with these set ups and devices. We prefer a solution that does the checking for you in real time.

In relation to mobile apps, our hardware is under your control, clocking is 3D biometric template and cannot be cheated by mobile VPN. GPS or PIN sharing or camera blocking. 

Is clocking in and out fast?

Yes. The device recognises faces in under 0.3 seconds, allowing staff to clock quickly and efficiently without queues or delays, even during busy shift changes.

Is it easy to enrol new staff?

Yes. New staff records are automatically transferred from CoolCare to the biometric device. When a new employee joins, enrolment is straightforward and can be completed quickly with minimal disruption.

Does the system work with different appearances?

Absolutely. Dynamic face templates improve recognition accuracy for staff wearing masks, glasses, hats, or sporting beards and different hairstyles. The system is designed to perform reliably across all shapes, sizes, skin tones, and facial features.

Is the device suitable for a care home environment?

Yes. The biometric device has been specifically selected with care environments in mind. Its compact, wall-mounted, and unobtrusive design allows it to blend seamlessly into the home environment without being intrusive for residents or staff.

Does it work at night or in low-light conditions?

Yes. The device is equipped with both colour and infrared 3D cameras, enabling accurate facial recognition at any time of day or night, including low-light and overnight conditions.

Is the device durable?

Yes.

Yes. CoolCare converts facial measurements into encrypted credential data templates. These templates are:

What should we do to ensure GDPR compliance internally?

What network connection options are available?

The device supports multiple network configurations:

Ethernet – Wired connection via CAT5 cable (standard power socket required)

Wi-Fi – Connects to your existing wireless network (standard power socket required)

Power over Ethernet (PoE) – Network and power delivered via CAT5 cable (requires PoE-enabled switch)

This flexibility allows the device to be deployed in a wide range of environments.

Can we upgrade at our own pace?

Yes. There is no requirement to upgrade immediately. Many customers choose to plan their transition while continuing to operate their existing solution, moving to biometric technology when it best suits their organisation.
